Supply Of Following Item(S):-Scanning Of Physical Documents To Digital Documents-a. Total number of files & number of pages – 198 files (approx.) and 40,000 pages (approx.). b. Each individual employee’s file to be scanned and stored in PDF format. File to be named by Employee number and name. c. Place of work – BNPM Plant premises. The vendor should bring all the required equipment such as scanner, connector etc. to BNPM premises to carry out the work. d. The vendor will be permitted to carry back these equipment after completion of entire work. Any kind of storage devices will not be allowed inside BNPM premises. e. BNPM will provide PC/desktop with LAN/USB connectivity to save all the scanned files. It will be allowed to connect to scanner/printer brought by vendor. Also, for any data transfer only BNPM hard disks / Pen drives etc. should be used. f. BNPM is a sensitive national important project, so the service provider should maintain high level of confidentiality. There should not be any breach of information. g. Working hours – Monday to Saturday (9.30 AM to 5.30 PM). Entire work should be completed within 45 working days from the date of issuance of work order. h. Documents in the files are containing serial number and filed in order. The vendor should file in the same order after completion of scanning activity. i. Daily morning set of personal files will be handed over to the agency. The vendor should complete the scanning activity of those files in the same sequence and should return back in good condition to HR dept. Proper register should be maintained in this regard for taking and handing over the files. j. Daily / Weekly progress report should be informed / submitted to plant HR dept. k. Payment will be done based on actual number of pages scanned (blank pages won’t be considered) and after completion of entire work. l. Covid-19 negative certificate (not older than 72 hours) is mandatory for the vendor’s representative entering into BNPM premises. m. BNPM is securitised organisation and situated in prohibited area (inside BRBNMPL premises). The vendor should follow and abide to the rules and regulations of BNPMIPL/BRBNMPL.
