| 10 | SCOPE OF WORK AND TERMS & CONDITIONS:- |
| 11 | A) Routine checking and servicing (Preventive maintenance).i) Checking & servicing of all mechanical & electrical parts of the A.C.Machine, refrigerant system, condenser & cooling system etc. three times in each month.ii) Checking of performance of each machine, Load Current (Amp) , CFM, grill temperature¸ room temperature etc. on daily basis & these shall be noted, in Log Book. All entries be countersigned by the Agency and the concerned Junior Engineer in the Log Book.iii) In every month, the Outdoor unit should be thoroughly cleaned and washed by vacuum cleaner and jet spray.iv) All machine shall be numbered according to their location, made and as per direction of E.I.C & Log book be maintained accordingly.v) Cleaning of filters twice in each month.vi) Lubricating the bearing of the motor & fan as and when required vii) Checking the electrical incomer upto incoming M.C.B incl. starter, switches etc. in each month. Any fault located should be brought to the notice of the Asstt. Engineer & Junior Engineer immediately.viii) Checking & repairing of all parts which have not been specified but necessary to keep the machine satisfactory running condition.ix) Agency must be provide a trained attender for operation of ductable type AC machine.x) If any fire hazard occurred due to poor maintenance of the Split/Window/ductable split Air Conditioning machine, the liability will goes to solely on the concerned maintenance agency. |
| 12 | B) Overhauling:i) Through overhauling of the machine part by part twice in a year.ii) Cleaning & painting of the machine body, base tray etc. once in a year.iii) Cleaning & discalling of condenser unit, cooling coil etc. and gas leak test once & when required in a year.iv) Overhauling shall preferably be done during winter season and must be noted in the Log Book. |
| 13 | C) Supply & Repairing:This comprehensive contract covers preventive & corrective maintenance of A.C. machine/ spare parts as required so as to keep the A.C. machine operative/ functioning round the clock and for ensuring uninterrupted & trouble - free performance of the equipment.i) Replenishing refrigerant required as a result of a leak in system arising out of fair wear & tear as per requirement.ii) Supply of refrigerant shall be made as & when required by the Agency in his own cost for all AC Machine..iii) Repair of microprocessor controls & to be replaced free of cost for all AC Machine.iv) Replacement capacitor (P2 type) incl. of all spare parts, including compressors (Except Ductable Split type AC machine), shall be made by the Agency for smooth running of the machine at his cost for all AC Machine.v) Filters be changed except nylon filter once in a year & the new once shall be approved by the EIC.vi) Replace/ repair of all spare parts of ductable split type (Like- Refrigerent, blower motor, remote sensing unit, controler, ducting, damper unit, all kind of valve, communication card, contactor and other electrical accerise etc) are to be made agency own cost.vii) No major parts shall be removed without permission of concerned Asstt. Engineer. Challan shall be obtained from Junior Engineer while taking away machine or parts from site for repairing and materials shall be returned/ repaireed within three days to worksite in Co’s challan. |
| 14 | D) Attendance of break down: i) Break downs to be attended by experienced AC machines immediately after receiving initiation from the Junior Engineer, Asstt. Engineer and the authority concerned.ii) AC machine must be provided with cell phone with contact no.iii) Nature of break down with date shall be recorded in the Log Book. |
| 15 | E) TERMS & CONDITION.i) All payments shall be made as per Govt. rules.ii) Agency may raise bills for quarterly payment. He shall submit service challan and Monthly Log Sheet (Format given by department) duly filled & countersigned by the Junior Engineer,& Asstt. Engineer mentioning therein the performance of the machine with grill temperature, room temperature at the time of servicing along with the log book duly signed by the JE & AE concerned.iii) No extra payment shall be made for repairing & replacement of machine parts or refrigerant.iv) The Log Book shall be kept upto-date & ready at Junior Engineer Chamber for verification by higher authority at any time & to be produced whenever demanded by the EIC for verification.v) The Executive Engineer reserves the right to terminate the contract at any time with one month notices.vi) If the Agency fails to make a break down machine operational with in 24 Hrs. or fails to provide replacement of the machine from his own working machine (loan machine), deduction from the bill will be made @`20/- for each day for split machine @ 200/- for each day for ductable type AC machine in excess of 24 Hrs. |
| 16 | SCOPE OF WORK AND TERMS & CONDITIONS ( For Mortuary Cooler) :- |
| 17 | SCOPE OF WORK FOR MAINTENANCE :-1) CHECKING :-To check and service of the Mortuary cooler plant fortnightly covering the following works:-a) Checking the Mortuary cooler plant performance, gas leak and oil return and also refrigerant system.b) Checking the motors, starters, temparature controller with alarm system and other electrical equipments connected with the plant.c) Lubrication of bearings of compressor motor and blower fan etc.d) Checking and rectification the operation of control panel and safety cut-outs.e) Cleaning and discaling of the condenser once in a month as per direction of EIC.f) Cleaning of cooling coil once in a month as per direction of EIC. |
| 18 | 2) REPAIRING OR REPLACEMENT :-a) Repairing the Mortuary cooler plant or repairing of parts there of as and when necessary including cooling coil and temparature controller with alarm system.b) Thorough overhauling of the Mortuary cooler plant except compressor once in a year as directed. c) Pouring of refrigerant gas as and when required. d) Painting of the Mortuary cooler plant once in a year with approved paint as per direction of EIC. |
| 19 | 3) TERMS & CONDITIONS FOR MAINTENANCE:-1. Maintanance & servicing of Mortuary cooler plant includes control panel, motors, compressors, condensers, blower fans etc. and electrical installation after main incoming source.2. The contract covers preventive servicing twice in a month.3. This comprehensive contract covers preventive & corrective maintenance of AC plant / spare parts as required so as to keep the AC Plant well operative / functioning round the clock as desired from performance and safety point of view. 4. Service Challan should be submitted to the AE concerned duly countersigned by the Junior Engineer-in-Charge of work. Room temperature at the time of servicing must be mentioned in the service Challan. |
| 20 | 5. The Log Book should be maintained and signed by the contractor or his authorized representative after completion of each phase of maintenance work under countersigned of the Junior Engineer concerned. In case of fault if so arises during maintenance work that should also be got signed by the contractor or his authorized representative noting the date & time of fault under countersignature of the Junior Engineer concerned. Date of repair of the same should also be signed by the Junior Engineer concerned with proper remarks.6. Log Book will have to be maintained by the Supervisor of the entrusted Agency in which Grill temperature of the plant AC and details of servicing will have to be noted down everyday and duly countersigned by the JE and AE. 7. In case any fault / breakdown it should be intimated to the Junior Engineer/Assistant Engineer at earliest. 8. Service challan certifying satisfactory performance of the machines should be submitted to the concerned JE periodically after overhauling and that has to be countersigned by the AE and to be submitted alongwith the bill. Grill temperature for the AC machines have to be maintained within +2 °C to +4 °C → 35.6 °F to 39.2 °F keeping proper entries in the service challan.9. Any fault should be set right within 48 (fortyeight) hours.10. A certificate of Assistant Engineer concern giving satisfactorily performance to machine should be obtained before payment. |
| 21 | 11.This contract covers repair and replacement of spare parts & accessories including blower motor, sheet metal body and repairing of condenser coil & copper tubes, Capacitors, relay, thermostat, air filters etc. as necessary and these spare parts / accessories should be available at site in the custody of the entrusted agency.12.Any inconvenience caused so far as performance of AC plant is concerned due to negligence in the part of the agency, if detected, will be liable to penalty. Quantum of penalty would be decided by EIC depending on the gravity of situation.13. While taking up / starting the comprehensive maintenance of Mortuary cold storage units, the agency will have to start maintaining this plants as per above terms and conditions irrespective of the condition of the A.C.plant and no extra charges will be paid for repairing / replacement work.14. The agency will have to provide self explanatory laminated photo identity cards and proper dresses with company’s logo for all the maintenance staff for need of Hospital Security reasons. |
| 22 | 15.The behavior of maintenance staff of the entrusted agency should be polite in nature and may be withdrawn from site in case of any adverse is reported. However, in normal cases, frequent changes of mtc staff will not be allowed without prior official intimation to the AE / JE.16. No extra charges ( Duties/ Cess/ Taxes etc ) will be paid except the rate quoted by the agency as per unit per month basis for maintaining the above described terms & conditions 17. In case of any accident/ incident and or physical illness of the staff of entrusted agency while on duty, no claim will be entertained by this Department (P.W.D.) and all responsibilities thereof should be shoudered by the agency only. Minimum wages as per existing Labor Act should be paid to the staff. 18. Bill should be submitted bimonthly / quarterly as per direction of the EIC, keeping at least one spare log book at site and payment will be made on production of bill supported by documentary evidence.19. The philosophy of \\"Public Interest\\" would be the MOTTO of this all inclusive comprehensive maintenance, any deviation may be viewed otherwise.20. The concerned Executive Engineer reserves the right to terminate the contract against two months notice for performance not observed satisfactory as well as for any other administrative reason.
