Tender For Providing infrastructure facilities for Kerala Machinery Expo 2025atInternational Exhibition Cum Convention Centre. Infopark Express Way, Kakkanad, Ernakulam, Kerala from 20/09/2025 to 23/09/2025--- 1 Providing infrastructure facilities for Machinery Expo 2025 at Kinfra International Exhibition cum Convention Centre Kakkanad. 2 Hire and labour charge for Providing AC Exhibition pavilion (For Large Machinery Stalls & Additional Stalls of 3x3) with Germen structure constructed with Aluminium Alloy pipes and silpolin side covering, fitted with suitable sheet and adequate lighting as per direction of the committee and dismantling and removing from the site. Rate including DG set and fuel cost for running AC and light. The pavilion should be ready to allot on 18/09/2025 at 08:00 PM onwards with basic lighting. During Exhibition days, AC should be started functioning one hour prior to the stall opening time. The Temperature inside the pavilion should be maintained at 24 Degree C.The area is indicative only. The rate will be pro-rata basis. 3 Hire and labour charges for providing and spreading the clean and neat Synthetic Carpet for the Exhibition area of 6 Halls, 2 Pavilions, passages and removing from the site. 4 Hiring and erection of fabricated stall of 3 x 3 m ( For machinery)- (60- inside ofHalls + 76 -outside pavilion, along with heavy machinery area) with prefab powder coated octanorm system along with aluminium section (powder coated) white laminated sheet including Facia with name of units (List will be provided), Octanorm system table- 1No ( 4 ft x2.5 ft), Chair -2Nos,Light -2nos, power plug– 1No, 3 phase power facility-1No (minimum 5HP/stall, If required additional, additional power line should be arranged) with proper electrical wiring, Waste Bin 1no etc including dismantling and removingfrom site. Door etc including dismantling and removingfrom site, 8 Hiring and erection of fabricated stall for providing “Office and Reception cum registration area” of 20m x 2m (approximately 10 stalls of 2mx2m )with prefab powder coated octanorm system along with aluminium section(powder coated) white laminated sheet including Facia with name, table- 10 Nos ( 4 ft x2.5 ft), Chair – 20 Nos, Spot Light -20 nos, power plug – 15 nos., Waste Bin – 5 no. Safe Locker 1 No. Pedestal FAN – 6 nos including dismantling and removingfrom site.Internet facility with wired connection & Wifi Facility 9 Hiring and erection of fabricated stall with prefab powder coated octanorm system along with aluminium section (powder coated) white laminated sheet (four side covered with door at passage front, including Facia with name : “VIP Longue ( approx. 30 sqm )”, Sofa 3 Seat with cover – 2 nos., Single Sofa with cover – 2 nos, Teapoy – 1 No, LED TV with live telecasting of the event, glass tumblers with lid 6 nos, tray 1 no., Light -4nos, power plug – 3 nos., Waste Bin – 1 no., door etc , Tower A/C to be installed with to keep room temp below 24 deg C.The rate including the fuel cost for the generator for the AC and Light. Also including dismantling and removingfrom site 10 Hiring and Erection of Facia on wall with name (List will be provided), Octanorm systemtable- 1No ( 4 ft x2.5 ft),Chair -2Nos,Light -2nos, with proper wiring, power plug – 2 nos.,3 phase power facility-1No (minimum 5HP/ stall, If required additional, additional power line should be arranged)with proper electrical wiring, Waste Bin – 1no., etc including dismantling and removingfrom site – This is for the rooms inHallA and B(24 nos) 11 Hiring and providing adequate PA sound system with settings for the announcement from the registration area, should be audible at all locations including machinery stalls (8 Halls), Registration Counter, Heavy machinery area (The two temporary pavilion). 10000 W with all necessary items for smooth functioning of programme.Rate including dismantling and removing form site. 12 Supply of drinking water (20 ltr filled jar 45 nos/day) with 15 dispenser unit and cup. - for 5 days 19/09/2025 to 23/09/2025 13 Supplying and fixing Pagoda white tent (Arabian Tent) (20x20ft) for setting up Snacks counter, For Space Connecting Pavilion C & D , removing from site as per requirements. Basic Lights and 6 power plugs should be arranged in the Snacks Counter. Rate includes the power charges and fuel costs. 14 Supplying and fixing Pagoda white tent (Arabian Tent) (20x20 ft) for setting up including dismantling and removing from site as per requirements. With Basic Lights and 1 power plugs. For facilities at Machinery Display area (E1, E2, E3, E4 ) Octanorm system table- 1No ( 4 ft x2.5 ft), Chair -2Nos, Light -2nos, Pedestal FAN – 1nos, with proper wiring. Rate including dismantling and removing form site 15 Hire and labour for providing Visitors counting equipment to be provided at the entrance with display of count during exhibition time, and dismantling from the site. 16 Hire and labour for providing Metal Detector and removing from the site after Exhibition 17 Hire and labour for providing Queue Manager and removing from the site after Exhibition 18 Arranging continues security services of 16 persons during exhibition time and 6 person for remaining time. Required from 18/09/2025, 8:00 PM to 24/09/20254, 12 noon) 19 Cost for engaging labour (12 persons/day) for cleaning stalls and premises of exhibition, Food court, Convention Centre and other places used for exhibition purpose. (From 19/09/2025 to 24/09/2025 ) 20 Providing CCTV surveillance (40 Cameras and 4 LED TV monitor) in the location specified by committee of the entire proceedings inside for 5 days with facility to store the proceedings and provide in external hard disk of the entire proceedings. 21 Providing LED wall (30 ft x 10ft ) (p3.91 LED Wall Indoor) with high density video graphic camera and mixing unit for projecting signalsto the LED wall and with live telecasting on Youtube and Facebook and dedicated internet connection 22 Arranging all necessary permission and inspection from Government departments such as PWD, Police, Fire and rescue Department, Electrical Inspectorate, Corporation, Suchithwa Mission and relevant departments including fees and other expenses. 23 Hire and labour charges for putting up LED Flood Outdoor Light in conduit wiring 24 Hire and Labour charges for putting up illumination light (‘Mala’ of 100 bulbs) in conduit wiring. 25 Hire and Labour charges for putting up illumination light (200W rainbow Colour LED Flood Outdoor light) in conduit wiring 26 Hire and labour charges for Generator with diesel For illumination, light (In and Outside of Exhibition hall) all other power requirement (except for items as specified in item 1.27and 1.34) , sound systems, etc.. in sound proof vehicle including transportation cost, diesel and operator etc- complete – Average use 11Hrs(10 A. M to 8 P.M) for 5 day. Additional 10 hours After closing of Exhibition for loading the machineries. 27 Air Curtain- 4Ftat each Pavilion of the Machinery exhibition stalls 28 Hire and labour charges for Generator with diesel for providing 3Ph power to the exhibitors for live demonstration in sound proof vehicle including fixing Cabling and DB settings, transportation cost of diesel and operator charge etc. Average use 10 Hrs – Expected power requirement-650KW– (requirement mentioned in item no. 1.01, 1.06 to 1.08, For 5 days. (8 hours on 19/09/2025 & 10Hrs/day for 20/09/25 to 23/09/25)Additional Generator requirement in terms of capacity and usage will be calculated on pro-rata basis. 29 Videography and photography of entire programs in HD format as per direction of the committee. 30 Loading and unloading support :Forklift 2Nos, crane 2 no., Pallet trolley 4nos with loading and unloading Labours and operators for the equipment for 4 days(from 18/09/2025 8:00PM to 20/09/2025(Noon), 23/09/2025 5pm to 24/09/2025 5pm, Ramp arrangements for entering to the Halls may be arranged accordingly 31 Fire extinguisher in Pavilion as per fire and safety standards 32 Insurance coverage (for mishaps, if any, happening at the venue of the event) provided for all participants, officials and visitors, machinery & equipments of the Exhibition during the event days. 33 Providing all sign boards including direction, toilet, food court, entry, exit, Health Protocols, Parking etc… and board showing list of all Exhibitors. 34 Hire and Labour Charge for Providing Metal Barricading for the exhibition area including Removing and dismantling from the site 35 Hire and labour charges for Generator with diesel for adequate light for security purpose in hanger, dome and ground during night time. (Form 18/09/2025 6 pm to 24/09/2025 6 am ) 36 Hire and labour charges for spreading clean and neat Synthetic Carpet at Theme Pavilion at the location demanded by the committee –Appxarea of 1000 sqft. 37 Extra Power Plugs at various location of the exhibition centre with power supply as demanded by the Organiser.Required Locations are: Theme Pavilion, Selfie Point, Stage of the Convention centre, Design wall, LED Wall locations.Should be arranged at extra locations as specified by the organizer 38 Support systems for Media Partner • Internet facility with wired connection • Wifi Facility at Exhibition Centre and Convention Centre. 39 Plastic waste disposal from the exhibition site- tie-up with the selected agency and handover the materials to them. Also should arrange the requirements of the Agency
