| 8 | Terms and Conditions & Scope of Work : |
| 9 | 1. The authorized service personnel will visit the installation sites for periodic preventive maintenance check up (once in a month) to the UPS systems except line interactive UPS system. |
| 10 | 2. During the preventive maintenance checkups, the system shall be cleaned and general performance will be checked. |
| 11 | 3. Cost of all spares that are replaced in the UPS system (only except replacement of battery if required) shall be covered under this comprehensive Annual Maintenance Scheme. Checking of battery terminals and taking corrective action for the same if needed to be done. Supply and application of material to keep terminals moisture proof to be used by the agency regularly. The connection wires if became faulty have to be replaced by the agency. |
| 12 | 4. The agency must have office and telephonic contact point (both land & mobile) based at Purba Bardhaman. |
| 13 | 5. The agency shall have to check Water Level of the Battery, Specific Gravity of the Electrolyte of the Battery, Condition of Battery Chargers, etc. as directed by the E. I C., fortnightly and findings thereof should be recorded in Log Book if applicable. In case of SMF battery their conditions have to be checked as per OEM recommendation and to be noted at Log Book regularly. |
| 14 | 6. Failing to comply any of the above mentioned items will result to deduction of cost from the raised bill as will be determined by the accepting authority. |
| 15 | 7. In case of any accident and/ or physical illness of anybody while on duty, no claim will be entertained by this Department and all responsibilities thereof should be shouldered by the agency. |
| 16 | 8. Spare standby machine of same capacity should provide in case of breakdown. |
| 17 | 9. The Executive Engineer, P.W. Dte., Bardhaman Electrical Division reserves the right to terminate the contract with one month notice to the agency for non satisfactory performance, violation of Terms & Conditions or other administrative reasons. However, this clause will be superseded by Clause II, if required. |
| 18 | 10. In case of major maintenance or any other reasons the UPS remains non operational for a stretch 15 days or higher, payment will not be made for that non operational period. |
| 19 | 11. The Bill for the work should be submitted along with photocopy of Log Book on monthly/ quarterly basis to the concerned JE. The payment will be made on receipt of the bill, certified for satisfactory performance by the JE and AE concerned, subject to availability of fund and maintaining existing PWD norms & rules. |
| 20 | 12. Apart from the periodic preventive maintenance visit, all breakdown calls on the systems covered under AMC as and when required. |
| 21 | 13. Exclusions: The following services are not included in this Scheme, but could be done on payment basis:a) Missing/ stolen parts in the UPS and DC backup b) Shifting of UPS and accessories. c) Extra accessories required for the use of the UPS.d) Cost of supply of battery if needed. |
| 22 | 14. Termination: The contract can be terminated by either side contract by giving a 1 (one) month notice in writing to the other party. |
