The Subject Of The Contract Is The Provision Of Comprehensive Services In Connection With The Organization Of The 11Th Edition Of The International Scientific Conference Eurosteel 2026 In Krakow, Hereinafter Referred To As The Conference, For 400 People, Within 16-18.09.2026, In Accordance With The Conference Program Described In Point 10. It Makes In Particular: 1. Renting Rooms Where You Can Implement The Conference Program, Including:- One Room With A Capacity Of Up To 500 People, Used To Open The Conference On The First Day And To Close The Conference On The Last Day Of The Event,- 11 Conference Rooms Used For Daily Deliberations Conducted In Parallel, Including 2 Rooms For A Minimum Of 20 People And 9 Rooms For A Minimum Of 40 People, With A System Of Sliding Walls And With The Possibility Of Connecting Rooms With Various Rooms The Size Of The Conference Room Must Be Air -Conditioned, Equipped With Access To Wireless Internet, A Multimedia Projector, A Projection Screen, A Minimum Of Two Microphones And A Sound Equipment, Space For The Speaker, Laptop, Flipchart With Paper Cards And With A Set Of Markers, With Additional Multimedia Monitors In Rooms Or In Corridors. The Contractor Will Provide Technical Support For All Such Rooms. 2. Providing A Room For 500 People With Necessary Technical Facilities And Service For The Organization On The First Day Of The Evening Integration Meeting Conference For Event Participants. This Room Should Be Located At The Place Of The Conference And Equipped With A Place And Equipment Enabling The Organization Of An Artistic Performance, Delivering Speeches As Well As Appropriate Sound System And The Possibility Of Additional Lighting. The Room Referred To Above Will Also Be Used On The Last (Third) Day Of The Event To Organize A Farewell Glass Of Wine, Standing Events. 3. Organization Of Catering For 400 People, According To The Conference Program. The Selection Of A Detailed Menu For All Meals Offered Will Take Place 4 Weeks Before The Conference, After An Earlier (Minimum 8 Weeks Before The Conference) Providing A Menu Proposal By The Contractor, Taking Into Account Meat Dishes, As Well As Vegan And Vegetarian Dishes. The Contracting Authority Reserves The Right To Finally Accept The Proposal Of The Menu. As Part Of The Catering, A Farewell Glass Of Wine Is Also Expected For All Participants, Offered At The End Of The Conference (Farewell Glass Of Wine). The Place Of This Kind Of Meeting, Of A Standing Nature, Can Be A Room Used On The First Day To Organize An Integration Meeting. The Selection Of Wines Proposed For Tasting Will Be Agreed With The Contractor At Least 4 Weeks Before The Event Starts. The Contractor Will Ensure At Its Own Expense All Required Equipment For Organizing Meals (Tables, Chairs, Catering Equipment, Coverings, Pledge And Necessary Service).
