For more information on the Binational Program, please visit: https://worldservice.lutheranworld.org/where-we-work/colombia-and-venezuela Description of the area to which the service is circumscribed The Service subscribes to the Operations Area of the LWF Colombia Venezuela Program, which is led by the Operations Management responsible for the coordination, planning, organization, analysis and assurance of an efficient and effective programmatic operation of the FLM/SM COL- VEN and the projects developed, from the higher institutional objectives preserving its mission and vision. It coordinates its activities with: Field Leader Delta and Sucre (East) Procurement, Administration and Logistics Officer Project team in Delta Amacuro and Sucre Administrative, financial and programmatic team in Venezuela. Location Headquartered in Delta Amcuro - Venezuela. However, you must be available to travel within the country and/or where it is required to carry out the activities inherent to the Service. Purpose of the service Develop the logistical and administrative activities of the WFP-funded project in an effective and efficient manner, in accordance with the guidelines and policies of the FLM/SM COL-VEN and the donor. Description of the activities: MANAGEMENT Ensure procurement processes in accordance with institutional and donor guidelines and the approved procurement plan Respond to the process of documentation, systematization and verification mechanisms (administrative procurement processes, delivery minutes, photographic records, attendance lists, Kardex and others), necessary for the control and monitoring of the project in each area of action with the guidelines of the FLM/SM COL-VEN, SI and PMA. Receive and dispatch the products in the warehouse. Reconcile daily warehouse closure and accurate stock checks Conduct daily inspections and prepare reports on the quantity and quality of products received/dispatched and handled; Promptly detects stock discrepancies/damage and analyzes the reasons, investigates the reason for the missing quantity, and produces reports on warehouse losses recommending appropriate solutions Implement appropriate measures to safeguard food, in order to ensure quality control using standard preventive measures in accordance with procedures. Support the preparation of the technical specifications for the acquisition of the goods and services required within the project and prepare the invitations to quote. Collect quotes, manage proposals received, organize meetings of the Procurement Committee and prepare communications to suppliers. Ensure that suppliers selected for procurement meet all requirements required by law. Develop and keep updated the supplier database. Ensure that all goods and services purchased are received in good condition, at the stipulated location and in accordance with established technical specifications Prepare purchase orders, collect legal documents from the supplier, prepare contract requests. Have transparent relationships with suppliers and advance local market assessments Respond for the systematization of experiences in their area, the means of verification (lists, delivery minutes, photographic material) and reports established in the project. To draft the periodic reports requested Proactively participate within project team meetings Maintain the record of project assets and timely registration in inventories. Support the logistics of internal and external meetings with the work team or with the community or other organizations. Maintain the updated archive of documents generated during the procurement process and administrative processes. Prepare, verify, and sign warehouse and transportation documents; maintain confidential files and accurate records of warehouse transactions so that product movements can be reported immediately in accordance with institutional requirements Be responsible for the cleanliness of the space in compliance with the standards of the donor and the LWF VE. Monitor the fumigation process for the proper handling of food. Make the corresponding adjustments to ensure the relevance of the space along with the standards of the donor and the LWF VE. Identify associated risks related to food handling and handling. To do this, you must coordinate with the security support officer. Support in the distribution processes according to the requests of the project team Professional Requirements Level of Education Technicians or students in the last semesters of undergraduate areas logistics, economic sciences, administrative and/or related careers are required.
