Quotation are invited for OSCI June 2025 Event. 01 Event Coordination for OSC-I event at Iraqi Defence University for Higher Military Studies (DUHMS) - Site set up 1 LS 02 Translation services for 70 participants for 4-day event to include Translation services with equipment for simultaneous translation). Translators will cover working group sessions at various locations at the University. Translation services include: Interpreters Interpretation headsets Booth(s) Technicians Sound system Complementary food refreshments (light breakfast, Lunch, coffee/tea) PERFORMANCE WORK STATEMENT The requirement is to solicit a firm fixed price contract / purchase order for full Event Coordination to include Translation services, translation equipment, and complementary food service for US Government 4-day event scheduled to take place during mid-June at Defense University for Military Studies (DUFMS) in Baghdad, Iraq. Exact dates will be shared with successful awardee in due course. The Government requires these services from companies specialized in providing event management and translation services, with at least 3 years of verifiable experience in same or similar projects. The relevance of experience will be the cornerstone for the evaluation of offers. Requirements Details The conference shall have a total of 70 participants. The participants will be Iraqi and international partners. The service includes translation equipment, translators (simultaneous translation of Arabic and English is required), event coordination, and complementary catering services. Event Coordination Translation service, translation equipment, and complementary food service are required for the event. Translators: Contractor will simultaneously translate Arabic to English and English to Arabic as speakers talk in Bashra Hall Auditorium. Translation will be broadcast to audience headsets in auditorium seating area. The contractor will provide the audience with translation headsets. Venue space is an academic environment. Participants in auditorium require translation headsets so they can understand presentation speakers discussing logistics topics in English and Arabic. Translation Equipment and Sound Specialist: Contractor will set up professional translation equipment and sound equipment in the audio broadcast booth of Bashra Hall Auditorium. Translation headsets with clip-on receivers, ear sets, and cabling are required for personnel in audience. Translation broadcast equipment is needed in the translation booth of the auditorium. Contractor shall ensure speakers have adequate microphone equipment connected to an auditorium speaker system for voice broadcast across seating area.
