Tenders are invited for Music Instrument Tools Closing Date: Friday, 11. Apr 2025 Intervention Sector(s): Children & Youth, Education Michel Daher Social Foundation (MDSF) is a non-profit organization dedicated to improving the lives of vulnerable communities in Lebanon. MDSF operates across four pillars: healthcare, social development, economic and human development, and community development and sustainable livelihoods. Through its programs, MDSF promotes resilience, sustainability, and social stability by addressing the needs of individuals, communities, and local enterprises. Background Salam Project, implemented by MDSF and funded by GIZ, aims to foster economic resilience and social stability in Southern Baalbek, West Bekaa, and Central Bekaa. The Takallam Social Center is a dedicated space that offers a supportive environment for children with learning, speech, and expressive challenges, providing therapy, counseling, and psychological aid for both children and parents. A key component of the project focuses on transforming the Takallam Center into a hub for psychosocial services and community activities. The music therapy initiative seeks to empower youth and adolescents to lead change in their communities by addressing psychosocial needs, fostering self-expression, and building skills for advocacy and career development. Objective The main objective of this call is to acquire a set of music instrumental tools that will enable the youth to gain the skills and knowledge required to effectively deliver music therapy Training of Trainers (TOT) for other children. The training will focus on ensuring participants are familiar with the correct use of music instruments, developing therapeutic techniques, and understanding how music can be used to support children & emotional and psychological development. To achieve this, we require a set of music instruments that will be used during these sessions. Scope of Work The scope of work for this assignment involves the following tasks and responsibilities for the selected vendor/supplier: 1. Provision of Music Instruments: Supply the specified types and quantities of music instruments as outlined in the TOR, ensuring they meet the required quality standards. Provide detailed product specifications, including brand, model, and any warranties or guarantees associated with the instruments. 2. Delivery and Logistics: Manage the timely delivery of the instruments to the designated location(s), ensuring the instruments are delivered within the agreed timeframe. Ensure that the instruments are delivered in proper condition, with no damage during transit. 3. Assembly/Setup (if applicable): If required, assist with the setup or assembly of the instruments at the designated location(s). Ensure all instruments are functional and ready for use upon delivery. 4. Quality Assurance and Inspection: Provide a quality assurance certificate or similar documentation for the supplied instruments to confirm they meet the specifications outlined in the TOR. Work with the project team to inspect the delivered instruments to ensure they meet the agreed-upon standards and specifications. 5. Support and Warranty: Offer post-delivery support and assistance for any issues related to the instruments. Provide warranties or service agreements for the instruments, covering any defects or maintenance needs for a specified period after delivery. 6. Documentation and Reporting: Submit invoices and relevant documentation upon delivery, including any necessary customs or importation documents (if applicable). Provide confirmation of receipt and delivery as well as any relevant compliance certificates for the instruments. Deliverables The selected vendor(s) will be responsible for providing the following deliverables: 1. Supply of Music Instruments: Delivery of the specified types and quantities of music instruments, including any necessary accessories or supplementary items required for their proper use. The instruments are as follows: 10 Maraces 10 Carillon 10 Mélodica 10 Bongo 10 Tambour de Basque 7 10 Claves 10 Tambourin avec cymbalettes 10 Tambour Amérindien Portable Avec Batteur Marteau 10 Tangue drum 10 Kalimba 10 Triangle 10 Castagnette The instruments must meet the agreed-upon specifications in terms of quality, durability, and suitability for children and music therapy purposes. 2. Delivery Documentation: Provision of all relevant documentation related to the delivery, including: Certificates of quality assurance or compliance with any required standards. Warranties or service agreements for the instruments, where applicable. 3. Post-Delivery Support: Clear details of post-delivery support, including contact information for warranty claims or servicing, and timelines for resolving any issues that arise with the instruments after delivery. Duration of Assignment The acquisition of the tools will span over 2 weeks. It will be scheduled according to an agreed-upon timeline to allow sufficient time for the setup of the selected tools. Starting date: April 16, 2025 End date: April 30, 2025 Trainer Qualifications To be considered for the procurement of music instruments, vendors/suppliers must meet the following qualifications: 1. Reputation and References: Strong market reputation and positive references from previous clients, especially those with similar projects. 2. Quality Standards Compliance: Instruments must meet relevant local and international quality standards, ensuring durability, safety, and suitability for children. Warranties or certifications confirming quality must be provided. 3. Timely Delivery: Ability to meet agreed-upon delivery schedules and manage logistics effectively, with experience handling bulk orders. 4. Competitive Pricing: Offering value for money while ensuring high quality within the budget constraints. Location The tools will be placed at Michel Daher Social Foundation, Ferzol, Bekaa, Lebanon. How to apply Step 1: Prepare your Bid Documents Submit the following: Technical Proposal: A detailed list of the music tools, including their brand, model, type, specifications, and warranty information for each item. (fill attached Annex 1) Financial Proposal: Provide a breakdown of your total offer in USD, including session rates, expenses, and taxes. Outline the payment structure based on milestones tied to deliverables. (fill attached Annex 2) Step 2: Submit Your Bid Email your complete bid to [email protected] by April 11, 2025 . The subject line must include the TOR title (Music Instrument Tools). Incomplete submissions or those without the correct subject line will not be considered. Required Documents: Technical proposal (Annex 1) Financial proposal (Annex 2) Legal Documents (MOF, ID, Registration Certificate) Step 3: Offer Validity Your offer must remain valid for 60 days from the submission deadline. You may be contacted for clarifications or further discussions during this time. Step 4: Payment Terms Payment will be made via bank transfer or Telegraphic Transfer (TT) within 15 working days after service completion. Payment will be processed after deliverables are met. Note: Without a valid MOF certificate, tax deductions of 3.4% on goods and 8.5% on services will apply, according to the articles number 41 and 42 of the income tax law. Step 5: Evaluation Proposals will be evaluated based on: Technical (50%): brand, model, type, specifications, and warranty information for each item.
