Tenders Are Invited For Providing Archiving Services As Needed Directorate For The Development Of The City Of Gdańsk

The Subject Of The Order Includes The Provision Of Archival Services Consisting Of: 1) Immediate Takeover, Based On The Submitted Delivery And Acceptance List, At The Own Expense And With Own Transport, Of Non-Archival Documentation, I.E. In The Amount Of Approx. 850 Mb (Over 200 Boxes) Stored By The Current Contractor In Gdańsk At Ul. Żaglowa. The Boxes Are Numbered And Are The Property Of The Ordering Party, So There Is No Need To Repack The Documentation. The Current Archive Is Located On The Ground Floor And Has A Loading Ramp. Therefore, It Is Possible To Load The Boxes Directly Onto The Truck.2) Ongoing Archiving And Processing Of Non-Archival Documentation Created By The Ordering Party. As Part Of Archiving, The Contractor Will Perform The Following Archival Work: - Collecting Documentation From The Ordering Partys Registered Office In Gdańsk At Ul. Żaglowa 11 At 8:00 - 15:00, - Sorting Documentation According To Task/Type (If Possible), - Forming Into Volumes And Numbering Volumes, - Packing Into Boxes And Giving Each Box A Number (Thus Ensuring Packaging For Documentation, I.E. Collective Boxes 0 ,4 Mb With Age), Record-Keeping Consisting In Keeping Lists Of Documentation Submitted By Drmg Based On The Delivery And Acceptance List, Maintaining Continuity Of Numbering In The Census Records (The List Of Documentation Should Include: The Number Of The Archiving Box, Volume Number, Name Of The Task, Industry, Dates Extremes, Name And Surname Of The Person Submitting The Transfer, Date Of Submission And Any Comments), - The Records Should Be Kept In An Electronic Version, With The Possibility Of Quick Printing, Updated And Sent To The Ordering Party Each Time After Drmg Transfers The Documentation, - In The Case Of Loose Documentation, It Should Be Bound Or Stapled,  The Tools And Materials Needed To Prepare And Bind The Files Will Be Provided By The Contractor, And Their Selection Is Also Up To Him.3) Storing The Files (The Quantity Is Determined On The Basis Of The Delivery And Acceptance Protocol, Currently We Store 850 Mb Of Documentation Outside The Unit) In Collective Boxes Measuring 40 Cm* 34 Cm * 30.5 Cm, In The Contractors Premises Meeting The Requirements Set Out In Applicable Regulations (In A Physically And Electronically Guarded Facility 24 Hours A Day), In Accordance With The Storage Period Of A Given Type Of Documentation.4) Renting (Delivering And Collecting) Non-Archival Documentation Stored By The Contractor, At His Own Expense, To/From The Ordering Partys Headquarters Located In Gdańsk At Ul.
