Request for Information (Market research) (RFI) for Auckland Council Full Facilities Maintenance and Management Contracts Open Date: Thursday, 13 June 2024 9:30 AM (Pacific/Auckland UTC+12:00) Close Date: Monday, 24 June 2024 5:00 PM (Pacific/Auckland UTC+12:00) Tender Type: Request for Information (Market research) (RFI) Tender Coverage: Sole Agency Regions: Auckland Required Pre-qualifications: None Overview: Introduction and overview All current supplier contracts for the maintenance of council-owned facilities and public open spaces expire 30 June 2027. This presents a unique opportunity to reconsider and reshape how we approach maintenance in the future. Council manages over 5,000 sites across the region including parks, buildings and open space. Under the current model we have five contract areas to allow for better economies of scale and alignment with Local Board boundaries. The contracts are currently outsourced by way outcome-based focus on service levels with a lump sum payment to the contract areas, as opposed to prescriptive or frequency-based maintenance schedules. This ensures service standards are consistently maintained and managed by suppliers. As the contract is coming up for renewal, we have some questions about the market these contracts are in. We are looking to learn about other means of arranging facilities repair and maintenance as part of challenging our current state and looking for improvement opportunities. Specifically, what other types of contracts or market arrangements you are either aware of or are engaged in with your customers for full facilities maintenance. Questions to suppliers: 1.What are your arrangements for this service with your customers? 2.Is there a best practice from other customers that you would advocate to Council to use? 3.How is that arrangement defined and how does it work? 4.Are there practices that you would not recommend? 5.We have thousands of assets, and we are adding and removing assets regularly. How well are you able to scale up or down your service provision? 6.Do you have similar arrangements with other customers whats your experience? 7.How do you look to build trust and relationships with your customers? 8.What level of visibility do you give your customers of the jobs/work done in a period? With other customers do you have Business to business data interfaces? Sustainable procurement requests? Requirements for delivery partnering with community groups? Access to your job/work management systems, so that they can track information? How does the above impact the contract? Do you expect to put your hat in the ring for doing this work in the future? 9. What would you do differently if you were us? Thanks, Paula Nicolini Tender Link : https://www.gets.govt.nz/AC/ExternalTenderDetails.htm?id=29560430
