1. The Subject Of The Order Is The Service, Maintenance, Supply Of Consumables And Keeping Printing Devices In Working Condition At The Municipal Social Welfare Center In Gdynia.2. The Service Will Be Provided Only Within The Administrative Boundaries Of The Gdynia Municipality. The Contractor Will Be Obliged To Perform The Subject Of The Order At The Ordering Partys Headquarters And In Individual Units And Establishments Of The Ordering Party In Accordance With The Address Details Included In The List Of Printing Devices Equipped With The Municipal Social Welfare Center In Gdynia, Constituting An Annex. No. 5 To Swz, On Working Days From 8.00 To 3 P.M. If It Turns Out To Be Impossible To Perform The Service, The Contractor Is Entitled To Perform The Necessary Activities Outside The Ordering Partys Headquarters.3. Detailed Requirements Regarding The Subject Of The Order.1) During The Order Execution Period, The Contractor Will Provide Service For All Of The Ordering Partys Printing Devices Listed In Annex No. 5 To The Swz. The Service Will Consist In Maintaining Printing Devices In A Ready-For-Operation Condition, By Which The Ordering Party Understands In Particular: A) Replacement And Repair Of Broken Components (Mechanical And Electronic As Well As Performance Of All Maintenance Activities), B) Cleaning And Maintenance Of All Elements Responsible For Proper Print Processing, And Providing The Devices With Consumables (Excluding Paper), C) Consumables For 108 Printing Devices Marked In Green In Annex 5 To The Swz Should Comply With The Guidelines Of The Printing Device Manufacturer; After Updating The Printer Firmware, The Manufacturer Forces The Use Of Original Consumables; Taking Care Of The Safety Level Of The Devices, The Ordering Party Regularly Updates The Firmware Of The Devices.2) The Ordering Party Requires That The Scope Of Service (Service Actions) For Printing Devices Includes: A) Thorough Internal And External Cleaning And Paper Feeders Of The Printing Device (Cleaning The Interior, Removing Paper Dust And Dust);B) Checking And Cleaning The Paper Feeding Mechanism;C) Checking And Cleaning The Paper Transport Path;D) Checking And Cleaning The Heating Element (Fusing Unit);E) Checking, Cleaning And Maintaining Rubber, Metal And Plastic Elements (Rollers, Rollers) , Belts, Bearings And Gears);F) Maintenance And Lubrication Of The Mechanics Of The Printing Device;G) Checking The Correct Operation Of The Printing Device After Maintenance;H) Replacement Of Consumables In Accordance With The Manufacturers Recommendations.3) The Ordering Party Requires That The Scope Of The Service (Service Actions) ) For Inkjet Printers Included: A) Thorough Cleaning Of The Internal And External Parts Of The Device And Paper Feeders (Cleaning The Interior, Removing Paper Dust And Dust); B) Checking And Cleaning The Paper Feeding Mechanism; C) Checking And Cleaning The Paper Transport Route; D) Checking And Cleaning The Ink Head;E) Checking, Cleaning And Maintaining Rubber, Metal And Plastic Elements (Rollers, Rollers, Belts, Bearings And Gears);F) Maintaining And Lubricating The Printer Mechanics;G) Checking The Correct Operation Of The Printer After Maintenance;H) Replacement Of Consumables In Accordance With The Manufacturers Recommendations.4) The Ordering Party Requires That In The Case Of Replacement Of Parts (Including The Consumable, The Ordering Party Does Not Allow The Use Of Toners Equivalent To The Used Oem Counting Chip In All Devices), The Contractor Should Deliver And Replace The Part/Consumable In Such A Way That Each Part/Consumable Meets The Following Conditions: A) It Is Brand New, Free From Defects, B) It Is Not Prefabricated And Regenerated, C) It Is Dedicated To The Repaired Printing Device. 5) The Service Should Be Performed At The Ordering Party Or At The Contractors Registered Office, Based On The Ordering Partys Notification (The Price Of The Service Will Include The Cost Of The Service Technicians Travel To The Place Of Notification And The Cost Of Transporting The Damaged Equipment If Repairs Are Necessary Outside The Ordering Partys Office).6) After The Contractor Has Removed The Failure, Defect Or Failure, The Representative The Ordering Party, In The Presence Of The Contractors Representative, Will Carry Out Acceptance At The Place From Which The Equipment Was Taken, Which Will Include Checking The Correct Operation Of The Repaired Printer, Printing A Test Page, Making Other Printouts, Checking The Correct Operation Of The User Interface In A Given Printer, Which Will Be Confirmed By The Ordering Partys Representative In A Protocol With Repairs. A Scan Of The Signed Repair Report Should Be Sent By E-Mail To [email protected]. The Information Contained In The Repair Report, In Particular Regarding The Course Of The Repair, Must Be Included In The Notification Available On The Online Platform.7) For The Duration Of The Repair Outside The Ordering Partys Premises, The Contractor Will Provide A Replacement Printing Device, Which Will Replace The Repaired Printing Device And Install It. The Replacement Printing Device Should Have The Same Or Similar Printing Parameters As The Repaired Printer. At Least 24 Hours Before Delivery Of The Replacement Printer, The Contractor Is Obliged To Provide The Replacement Printer Model, Its Mac Address And Serial Number To [email protected] In Order To Make The Necessary Changes In The Ordering Partys It System. If The Delivered Device Does Not Work Properly With The Existing Infrastructure Of The Ordering Party, The Contractor Will Be Obliged To Deliver A Device That Works Properly And Is Compatible With The Infrastructure Of The Recipients System.8) If It Is Impossible/Lack Of Economic Reasons To Repair A Given Device, The Contractor Will Report This Fact To The Ordering Party Within 7 Days From The Date Of Reporting It For Repair Along With A Detailed Description Of The Reasons (Including At Least: Deadline For Reporting The Failure, Model And Serial Number Of The Device, Cause Of The Failure And Justification For The Lack Of Grounds For Repairing The Device). This Notification Will Be The Basis For Withdrawing The Damaged Equipment From Service.9) After The Ordering Party Receives The Acceptance Of The Notification Referred To In Point. 8 Above, The Contractor Will Transfer Ownership To The Ordering Party, Within 7 Days, Free Of Charge, Of A Printing Device With Parameters No Worse Than The Device Whose Repair Is Not Possible. Each Device Proposed By The Contractor Requires The Acceptance Of The Ordering Party, Who Will Take Into Account Such Parameters As: Correct Operation In The Ordering Partys Network, Mono/Color Printing, Scanner/Fax/Copier Function, Cost Of Consumables And Printing One Page, Printing Technology, Number Of Ports Etc. Compared To The Device Being Replaced. The Delivered Device Is To Be Covered By At Least A 12-Month Warranty From The Contractor.10) The Contractor Will Provide The Ordering Party With A 12-Month Warranty For The Service Performed, Counted For Each Printer Separately From The Date Of Completion Of A Given Service Action.11) During The Execution Of The Order, The Contractor Will Be Obliged To Provide And Make Available To The Ordering Party A Secure Online Platform For Full Support Of Printing Devices. The Ordering Party Allows The Use Of More Than One Online Platform, I.E. One For Ordering Consumables And The Other For Reporting Service Actions. In Such A Case, The Secure Internet Platform(S) Must Meet The Requirements Of The Ordering Party - Have The Following Minimum Functionalities And Security Measures: A) Access From Any Computer Via The Internet, Without The Need To Install Additional Software, B) Secure Access To The Portal Secured By A Certificate Ssl For Persons Indicated By The Ordering Party Via Logging In Secured With A Login And Password, C) Possibility Of Sending The Request In The Following Way: The User Of The Printing Device Reports A Demand For The Service, And Then The Ordering Partys Representative Is Notified About This Request, Confirming The Given Demand For The Service To The Contractor, D) Possibility Creating A List Of The Ordering Partys Organizational Units In Accordance With The Data Contained In Annex 5 To The Swz, Along With Assigning Individual Printing Devices To Them; This Structure Will Be Created On The Platform By The Contractor Within 14 Days From The Date Of Conclusion Of The Contract And Updated On An Ongoing Basis, E) The Possibility Of Ordering Consumables Directly To A Given Organizational Unit Of The Ordering Party, F) The Possibility Of Placing Orders By Selecting From A List That Contains Only Consumables Suitable For Devices Operating At The Ordering Party, G) The Possibility For The Ordering Party To Obtain Insight Into The Order History, Which Should Include, Among Others: Order Number, Types Of Ordered Materials, Details Of The Approving Person, Order Date And The Organizational Unit Appropriate For A Given Order, H) Possibility Of Monthly Printing A Summary Report Containing: The Quantity Of Ordered Consumables, Detailing Their Types, Types And Locations For Which They Were Ordered, I) The Ability To Access Detailed Information On Ongoing Service Actions, Including: Date Of Receipt, Order Number, Current Order Status, Appropriate For A Given Order, The Organizational Unit Of The Ordering Party And The Product Range (In The Case Of An Order For Consumables),
