The Archives Of Ontario Magnetic Media Collection Is Aging And Is At Risk Due To Physical Deterioration And The Growing Obsolescence Of Antiquated Playback Equipment. It Is Urgent That We Create Digital Preservation Copies Of These Valuable Magnetic Media Records As Soon As Possible To Ensure Their Long-Term Preservation And Researcher Access. The Archives Of Ontario Has Limited Capacity To Digitize Magnetic Media On Site And Does Not Have Access To The Equipment To Play And Digitize Some Magnetic Media Formats. The Archives On Ontario Is, Therefore, Seeking External Digitization Services To Complete This Work Before These Magnetic Media Records Are Unrecoverable. The Digitization Services Will Include The Cost Of Digitizing 20,409 Magnetic Tapes, Across Multiple Different Video And Audio Magnetic Media Formats. Scope Of Work The Magnetic Media Digitization Contract Will Be Awarded To One Or More Vendors. The Vendor(S) Will Transport Several Orders Yearly From The Archives Of Ontario At 134 Ian Macdonald Blvd, North York To Their Digitization Facility And Will Digitize Each Magnetic Media Record According To Required Standards. The Vendor(S) Will Also Record The Required Metadata For Each Magnetic Media Record. Following The Digitization Of All Records In Each Order, The Vendor(S) Will Return Magnetic Media Record And Their Created Digital Surrogates To The Archives Of Ontario And Retrieve The Next Order. If The Archives Of Ontario Discovers That Any Digitized Media Records Are Not Up To The Standards Of The Project The Vendor(S) Will Re-Digitize. The Selected Vendor(S) Will Repeat This Process For Subsequent Orders Over Six Years Or Until All Magnetic Media Records Have Been Digitized. The Archives Of Ontario Has Custody Of Magnetic Media Records In Many Different Formats And Will Award Multiple Contracts If Necessary To Ensure All Formats Can Be Digitized.
