Tenders Are Invited For Providing Archiving Services For The Needs Of The Directorate For The Development Of The City Of Gdańsk

1. The Subject Of The Order Includes The Provision Of Archival Services Consisting Of: 1) Immediate Takeover, At Its Own Expense And With Its Own Transport, Of The Ordering Partys Non-Archival Documentation (Approximately 760 Mb) Stored By The Current Contractor In Gdańsk At Ul. Żaglowa.2) Ongoing Archiving And Development Of Non-Archival Documentation Created By The Ordering Party. As Part Of Archiving, The Contractor Will Perform The Following Archival Work: - Sorting Documentation According To Task/Type (If Possible), - Forming Into Volumes And Numbering Volumes, - Packing Into Boxes And Marking Each Box With A Number (Thus Ensuring Documentation Packaging, I.E. Collective Boxes 0.4 Mb With Age), Record-Keeping Consisting In Keeping Lists Of Documentation Submitted By Drmg Based On The Delivery And Acceptance List, The List Of Documentation Should Include: The Number Of The Archiving Box, Volume Number, Name Of The Task, Industry, Extreme Dates, Name And Surname Of The Person Transferring Party, Date Of Transfer And Any Comments, - The Records Should Be Kept In An Electronic Version, With The Possibility Of Quick Printing, Sent To The Ordering Party Each Time The Documentation Is Transferred By Drmg, - In The Case Of Loose Documentation, Tying Or Stitching, - Tools, Materials Needed For Processing And Binding Files Will Be Provided By The Contractor, And Their Selection Is Also Up To Him.3) Losing Documentation Once A Year - This Includes: - Preparing Lists Of Files To Be Missing (Sent To The Ordering Archivist For Approval), - Isolating Documentation To Be Destroyed, - After Obtaining By Consent Unit From The State Archives In Gdańsk - Destruction Of Documentation In An Industrial Shredder, Baling Preventing The Reconstruction Of Data, In Accordance With Applicable Regulations On Gdpr And Waste, Issuing A Certificate Of Destruction. 4) Storing Files (The Quantity Is Determined On The Basis Of The Delivery And Acceptance Protocol, Currently We Store It Outside The Unit 760 Mb Of Documentation) In Collective Boxes Measuring 40 Cm * 34 Cm * 30.5 Cm, In The Contractors Premises Meeting The Requirements Specified In The Applicable Regulations (In A Physically And Electronically Guarded Facility 24 Hours A Day), In Accordance With The Storage Period Of A Given Type Of Documentation. 5) Collecting Non-Archived Documentation At Your Own Expense From The Ordering Partys Registered Office In Gdańsk At Ul. Żaglowa 11 Or The Place Indicated By The Ordering Party In The Municipality Of Gdańsk, Within 48 Hours Of The Ordering Party Submitting The Request By E-Mail Or Telephone.6) Delivering Non-Archival Documentation Kept By The Contractor At Its Own Expense To The Ordering Partys Registered Office Located In Gdańsk At Ul. Żaglowa 11 Or The Place Indicated By The Ordering Party In The Gdańsk Commune, Within The Time Specified In The Offer, No Longer Than Within 48 Hours From The Ordering Partys Submission Of The Request By E-Mail Or Telephone.2. The Services Must Be Performed In Accordance With Applicable Law, In Particular In Accordance With The Requirements Of The Regulation Of The Minister Of Culture And National Heritage Of October 20, 2015 On The Classification And Qualification Of Documentation, Transfer Of Archival Materials To State Archives And Disposal Of Non-Archival Documentation, And In Accordance With The Act Of July 14, 1983 On The National Archival Resources And Archives.
