Council Chambers–Conferencing A/V Equipment - The Council Chambers Room Is Primarily Used For Formal Meetings. These Meetings Include Bi-Monthly Council And Mpc Meetings, Yearly Budget Meetings, And Various Committee Meetings. These Meetings Can Be Both Private And Available To The Public. The County Would Like To Replace The Existing Audio/Video/Conferencing Systems Within The Council Chambers With A Modern Solution With Simplicity, Flexibility, And Expandability In Mind. The Solution Must Include The Following: - Ability For Staff, Council, Public, And External Invitees To Attend Meetings In Person And Remotely. - Multiple Methods For Users To Attend Meetings Remotes Via Software Native To The Solution, Microsoft Teams, Or A Telephone Call. - Ability For Attendees To Present Their Presentations Through A/V Conferencing System (Slideshows, Videos, Physical Paper Documents). - Replacement Of The Two Existing Lcd Displays With A Solution That Can Be Seen By All Attendees In The Council Chambers (Council/Staff And Public Attendees). - Replacement Of The Existing Room Audio System And Microphones/Stations (Currently 18 Stations Used (17 Regular And 1 Chairman Station)), And A Single Wireless Microphone That Is Used For Public Attendees. - Microphone Units Must Include Voting Functionality. - Capabilities To Host Audio/Video Conferences, Join External Conferences, Record Meetings, And Live Stream Meetings (Youtube, Facebook, County Of Newell Website). - Document Camera At The Presenter’S Table. - Ability For Staff To Control The System Both Inside And Outside The Room (Control Audio, Video, Streaming, Recording, In Camera Mode, Etc.). - Multiple Cameras To Track Speakers (Council, Presenters, Public) Without Having The Camera Capture Its Movement On The Video When Changing Speakers. - Ability To Integrate With Microsoft Teams As The County Currently Utilizes Office 365 Throughout The Organization. - Provide Staff Training And Documentation. - Support/Maintenance/License Agreements For Minimum Three (3) Years.
