Event Services - Organizing And Holding Events Under Projects Of The Municipality Of Burgas, Which Are Financed With The Funds Of The Municipality Of Burgas And From External Financial Sources. The Purpose Of This Public Procurement Is To Conclude A Framework Agreement With Three Contractors For A Period Of Up To 3 Years, In Order To Ensure The Conditions For Organizing And Holding Events Of Various Types And Formats In Implementation Of Projects Of The Municipality Of Burgas, Financed With The Funds Of The Municipality And/Or External Financial Instruments. The Framework Agreement With The Subject Organization And Holding Of Events Under Projects Of The Municipality Of Burgas, Which Are Financed With The Funds Of The Municipality Of Burgas And From External Financial Instruments Regulates The Main Components And Price Parameters In Which The Specific Services Will Be Awarded In Accordance With The Order Of Art. 82 Of The Civil Code. During The Implementation Of Projects, Financed Both By Various Programs And With The Funds Of The Municipality Of Burgas, Various Events Are Organized In Terms Of Format And Scope. Since It Is Not Possible To Determine In Advance Their Exact Type, Number And Time Of Implementation, As Well As The Projects That Are About To Be Approved And Launched, This Order Aims To Determine The Conditions For Awarding The Contracts Based On The Individual Components According To The Type Of Event. The Order Includes, But Is Not Limited To: • Preparation And Organization Of Press Conferences And Conferences; • Organization Of Forums, Workshops, Round Tables And Meetings With Interested Parties; • Conducting Informational Events And Campaigns; • Organizing Partner Meetings On Projects; • Organization Of Events At The Start Or Completion Of Construction And Installation Activities On Projects; • Provision Of Catering, Lunches And Dinners; • Provision Of Transportation For Participants; • Technical Provision Of Events; • Photo And/Or Video Recording; • Creation Of Invitations, Visual And Presentation Materials; • Preparation Of Publications In Social Media; • Accountability, Including Photographic Material And Attendance Lists. Services Are Provided Both For Small Groups (Up To 10 Participants) And For Events With Over 100 Participants. The Most Frequently Organized Events Are Conferences, Forums, Partner Meetings, In Which The Number Of Participants Is Usually Over 30. Each Of The Events Must Be Publicly Disclosed. Public Disclosure Should Be Understood As: Preparation Of An Advertising Box/Invitation/Banner Agreed With The Contracting Authority For Distribution In Information And Social Media, As Well As Preparation Of Presentation Materials. For Each Individual Event, An Internal Competitive Selection Will Be Conducted, And Potential Contractors Will Be Sent An Invitation To Supplement The Offer According To The Specifics Of The Event, For Which A Period Of At Least 5 Calendar Days Will Be Provided. In The Invitation, The Contracting Authority Determines The Parameters Of Each Event And The Requirements For Its Implementation, According To The Components Included In The Price Proposal Of The Selected Contractor. Contractors Should Note That The Invitation May Not Include All The Elements Of The Technical Specification, But Only A Part Of Them.
