Annex A To Swz Description Of The Subject Of The Order The Subject Of The Order Is The Reservation, Sale And Operation Of Domestic And Foreign Hotel (Accommodation) Services For The Needs Of The Adam Mickiewicz Institute. 1. Scope Of The Subject Of The Order 1. Searching For Offers Of Hotel Facilities. 2. Making Reservations For Hotel Services (Accommodation) In Poland And Abroad. 3. The Service Will Be Provided For 36 Months From The Date Of Signing Or Until The Maximum Value Of The Contract Is Exhausted. 4. Mediation In The Sale Of Hotel Services, Including Making Payments. 5. Mediation In Cancellations And Changes To Reservations And Handling Returns. 6. Providing The Ordering Party With Detailed Information About The Reservation, Including: Check-In, Check-Out, Meals, City Tax And Other Fees. 7. Representing The Ordering Party In Complaints Regarding Hotel Services. 8. Providing 24/7 Service, Including On Holidays. 9. Regular Updating Of The Available Offer. 10. Taking Care Of The Interests Of The Ordering Party, In Particular Informing About Events That May Affect The Implementation Of The Contract. 11. The Contractor Will Provide A Service Office In Poland (Registered Office Or Branch) Open At Least 5 Days A Week (Mon-Fri) From: 8:00–18:00 And A 24/7 Hotline Enabling Reservations And Changes Outside Office Hours. 12. Assignment Of A Customer Advisor And At Least Three People Dedicated To Servicing The Ordering Party. 13. Providing An Online Reservation System Enabling Reservations To Be Made And Modified By Authorized Employees Of The Ordering Party. The System Must: • Operate In Current Versions Of The Main Browsers, • Contain The Full Offer Of Available Hotels Of The Contractor, • Have Filters (Including: Standard, Price, Location, Meals, Internet), • Enable Search On The Map, • Enable The Generation Of Vouchers In Pl And En, • Enable A Full History Of Reservation Changes (Audit Trail), • Enable Export Of Reservation Data And History Of Changes (Pdf/Xlsx). 14. The System Must Enable Access To The Ordering Partys Special Rates Along With Cancellation Terms. 15. The System Must Enable The Generation Of Reports (Number Of Person-Nights, Turnover, Detailed Data By Hotel, Guest And Period). 2. Important Information 1. Estimated Number Of Reservations: Approx. 12,600, Including: • 8,000 Foreign • 4,600 Domestic 2. At The Ordering Partys Disposal: 1-, 2- And 3-Person Rooms In 2-5 Star Standards. 3. Booked Services Must Meet International Quality And Safety Standards. 4. Geographic Scope: Poland And Abroad, In Particular The Eu, Great Britain, Usa, China, Japan, South Korea, Scandinavian Countries. 5. Reservations For Representatives Of Cultural Institutions - High Standard Of Service Required. 6. Quantities Are Estimates And May Change Within The Contract Value. 7. The Contractor Provides Support In The Event Of Problems At The Place Of Service. 3. Reservation Procedure 1. The Ordering Party Submits E-Mail Inquiries. 2. Determines Requirements (Location, Budget, Preferences).
