Project: Tender21749 - Omafa Digital Asset Management Project . Omafa’S Foodland Ontario Program Requires A Scalable Digital Asset Management Solution Enabling Staff To Contribute Content, Collaborate Effectively, And Search And Store Secured Digital Assets Within A Centralized, Secure Repository. This System Will Require Both Internal Facing And Public Facing Access To Specified Assets. This System Needs To Ensure Dynamic, Authorized And Anonymous Stakeholders Have A Streamlined, Consistent Ontario Government Branded User Experience (Ux) Access To Discover And Consume Assets With Ease. Scope Of Work The Ministry Is Seeking Market Information And Indicative Cost Ranges For A Software As A Service (Saas) Digital Asset Management (Dam) System With An Expected Usable Lifespan Of Up To Six Years. Respondents Are Asked To Describe Their Systems And Provide Estimated Costs For Configuration, Customization, Licensing, Hosting, Storage, And Ongoing Support, Including Scalable Storage Beyond 10 Tb. What Is Needed: A Secure, Scalable, And Accessible Dam Solution That Provides A Centralized Repository For Images, Video, Design Files, And Documents; Supports Version Control, Metadata Management, Advanced Search, Workflows, Reporting, Ai-Enabled Automation, And Usage Rights Tracking; And Integrates With Government Of Ontario Systems (Active Directory, Email, Authentication). The System Must Support Internal And External Users, Multilingual Public Interfaces (English And French), Wcag 2.2 Aa Accessibility, Secure Asset Sharing With Time-Based Controls, Integrations With Creative Tools (E.G., Adobe, Canva), Malware Scanning, And Responsive, Brand Aligned Asset Sharing Templates. Why It Is Needed: The Program Requires A Modern Dam To Protect Asset Integrity, Ensure Compliance With Licensing And Accessibility Standards, Improve Collaboration, Reduce Duplication, And Scale With Program Growth. The Solution Must Efficiently Manage And Distribute Digital Assets To Diverse Users While Maintaining Security, Consistency, And Performance. Gathering This Information Will Help The Ministry Understand Market Capacity, Pricing Models, And Capabilities To Inform Future Procurement And Long Term Planning, Including The Potential Onboarding Of Additional Foodland Ontario Assets. When It Is Needed: A Fully Functional Dam Would Be Needed In Fiscal 2027-2028.
