Reference : 100015865 Process : RFQ Description : GGGI Africa Regional Office, for its projects in Benin is inviting eligible service providers (hotels) to submit their proposals for Framework Agreement Tender Process for Provision of conference, accommodation facilities and catering services to GGGI in Benin. SCOPE OF WORK: Name: Conference and accommodation facilities and catering services to GGGI in Benin Date: 2026 Locations: Cotonou, Porto Novo The purpose of this Request for Quotation (RFQ) is to contract multiple Hotel Companies, which is hereunder referred to as the Service Provider, to support and assist in the organization and coordination of events across the Benin Program and the different Projects in the country. GGGI estimates to undertake approximately Twenty 27 events in the country annually, whether in Cotonou or in Porto Novo; with size varying widely from small group meetings (10-20 participants) to large events (up to 100 participants or more). As a result of this Tender, GGGI plans to award maximum of 3 Framework Agreements (FWA). While FWA shall not guarantee any actual or estimated volume of services, Sub-Order (SO) to be issued later shall make a financial commitment. FWA contractors shall receive at least one Sub-Order request during the entire duration of FWA. GGGI has the discretion of awarding additional SOs depending on the performance of the FWA contractor on the Sub-Order issued. FWA will be valid for 2 years but may be renewed* for another 1- year depending on the performance of the Service Provider. There is no guarantee for further extension of the contract. *In the event the FWA is renewed for another year, the unit prices can be adjusted based on the official Consumer Price Index of that year (CPI_ of Benin) For further details on the Scope of Work, please refer to the Terms of Reference available under the published Document Set IMPORTANT TIMELINES: The tender submission deadline is 29th June 2026, 16:00 KST (Korean Standard Time) Note: If any bidder has any request for clarification on the TOR or any part of the tender documents, GGGI will be happy to clarify if the request is received on or before 7 days before the deadline (namely: if the tender submission deadline is 16:00 29 June KST, then the due date for submission of request for clarification is 16:00 22June KST). Interested parties will be required to register their details on the GGGI e-Green Procurement Portal (https://in-tendhost.co.uk/gggi). HOW TO OBTAIN THE DOCUMENTS: Documents can be accessed via the e-Green Procurement Portal by selecting View Details on the relevant notice and then clicking the Tender Application button. If you are a new supplier, you will be required to register your details. If you have an existing account, you will need to login to the portal. Please refer to the guidance documents under the `Supplier Guidance` area of the portal for further information. SUBMITTING YOUR RESPONSE VIA THE PORTAL: Please note that you may be required to Opt In to be able to submit a response through the portal. Your proposal will not be submitted until you click `Submit Return`, located towards the bottom of the screen.
