Vitaz Vzw And The O.L.Vrouw Van Troost Hospital Wish To Appoint An External Partner For The Printing, Preparation And Sending Of Patient Invoices With Any Model D Documents And Reminders For A Period Of 1 Year, With 3 Possible Extensions Of 1 Year. Services To Be Provided 1. Processing & Creating Pdfs Of Invoices • Delivery By Client Of Gri And/Or Csv Files. • Creation Of Pdf Invoices. • Printing Invoices And Reminders In Color. • Printing Collective Certificates Model D. 2. Sending Documents • Electronic Sending Of Invoices And Reminders To Patients. • Postal Dispatch Of Invoices With Accompanying Letter And Possibly Model D Documents And Reminders. • The Various Documents Must Be Grouped, Sorted And Enveloped Per Patient. • Shipping Method Is Controlled According To The Workflow Determined By The Client. • Possibility To Send Hard Copy Invoices And Collective Certificates Model D Specified By The Client To The Client Or To Keep Them Separately In The User Interface For Further Processing. • Opt-In Option Provided Upon Payment To Switch To E-Mail Sending. 3. Payment (Electronic And Manual) • Provide The Option To Make Both Electronically (Qr Code Or Via Secure Url) And A Traditional Transfer. 4. Archiving & Making Available • Digital Archiving Of Patient Invoices. Reporting, Follow-Up & Interface 1. Digital Reporting • Number Of Emails And Letters Sent. • Patient Number, Invoice Number And Shipping Method. • Time Stamping Of All Sent Documents. 2. User Interface • Search For Invoices And Payment Details Based On: O Patient Name O Patient Number O National Register Number O Invoice Number • View Sent Documents And Status. • Processing Email Bounces And Return Mail. 3. Payment Follow-Up • Integration Via Api Link For Payment Follow-Up. Volumes Of Vitaz Vzw (Indicative) • 600,000 Invoices/Year • 120,000 Reminders/Year • 1/3 To 1/2 Of The Sending Is Done Via E-Mail • 8,500 Model D Forms/Year Volumes Of O.L. Vrouw Van Troost (Indicative) • 435,000 Invoices / Year • 77,200 Reminders / Year • > 50% Of Sending Is Done Via E-Mail • 7900 Model D Forms
