Quotation are invited for Freight Forwarding and Clearing Services. AUB/AUBMC is seeking a valued freight forwarder and customs clearance provider that can handle all international shipments performed by the university and its hospital. 1- The provider shall have/obtain a warehouse in the United States, preferably New York City, and is able to handle all kinds of shipments and have them consolidated, shipped, and cleared. 2- The Provider shall dedicate a separate team that shows commitment, devotion, and is always alerted for urgent tasks whenever needed. 3- The Provider shall be able to provide insurance for all AUB/AUBMC shipments including CIF Beirut shipments. 4- The Provider shall deliver freight services, cargo handling, customs formalities, clearance, packing or re-packing of cargo, labeling, delivery to requested destinations, and any related logistic services as per the following terms and conditions: 5- The Provider shall be responsible for the full inspection of all fragile orders and for reporting any damage/irregularity of any kind in writing. 6- The Provider shall be responsible for the receipt of incoming orders and shall compare the documentation received. 7- The Provider shall always keep track of all expected orders shipped with provider until received, and shall provide a daily report of all on hand, potential, and unknown order(s) to AUB /AUBMC Teams. 8- The Provider shall scrutinize purchase orders before shipments arrival to timely notify AUB/AUBMC of potential clearance requirements/documentation and shall alert both teams about potential banned items (ex: 60 Hz electronic equipment, etc.) and provide their recommendations before the vendor ships the order. 9- The Provider shall prioritize AUB/AUBMCs shipments and make sure to depart orders from USA port as fast as possible. Lead time shall not exceed 30 days period from the date of receipt. All orders shall be shipped to Beirut in the most time and cost-efficient way possible. 10- The Provider shall provide repacking services as required by the relevant mode/commodity of shipment (sea freight or airfreight) maximizing the most convenient space according to the dimensions and weight of the goods in the most cost-efficient way possible. This includes but is not limited to seaworthy packing, appropriate padding, labeling, and re-packing of (fragile, perishable,) orders according to the required storage conditions set forth by the suppliers instructions, the concerned agent, and/or the label on the pack. 11- The Provider shall be able to handle dangerous cargo if required, according to IATA packing requirements 12- The Provider is responsible for all shipping documentation (AWB), insurance issuance, crating services, provision of the necessary porters, tools, and facilities for offloading on-loading and transportation of shipment(s). 13- The Provider is responsible for obtaining adequate and reliable insurance coverage for all shipment(s). In the event of a claim, the Provider shall reimburse AUB/AUBMC within maximum 1 week upon its first request for the full amount claimed without any delay and irrespective of the delays caused by the insurance company. The processing and follow up for the insurance claims shall be solely the providers responsibility. A copy of valid insurance certificate shall be submitted to AUB/AUBMC upon the execution of this Agreement. 14- The Provider shall process and handle all customs formalities, including but not limited to, required permits, licenses, legalization, necessary approvals(including but not limited to MOH, MOA, MOF ,MOT, MOD, and expertise, temporary imports and exports from governmental and other parties. 15- The Provider shall check with airlines and notify AUB/AUBMC of incoming shipment(s) in advance. 16- The Provider shall be responsible for the settlement of all charges (duties, VAT, Taxes, etc) on behalf of AUB/AUBMC. Any VAT, sales and/or services tax, or other tax imposed in accordance with the respective Lebanese tax law, or other applicable Lebanese law or regulation will be charged to AUB/AUBMC at the official rate and will be paid by AUB/AUBMC in addition to the service fees. 17- The Provider will issue one consolidated invoice for both, the service and the associated tax, the invoice should separate between the total tax value and the total service value and shall submit relevant and supporting documents. 18- The Provider shall be able to settle charges on behalf of AUB for tasfieh shipments and deliver these shipments to the agreed address. 19- The provider shall be responsible for any rectification fees for orders/consolidations shipped with him.
