Event Services – Event Technology Services. The University Of Helsinki (Later Also The Client Or Customer) Requests Offers For The Provision Of Event Technology And Construction Services. The Object Of The Procurement Is The Construction And Technical Implementation Of Various Events Organized By The University Of Helsinki, As Stated In The Request For Tenders And Its Appendices. The University Of Helsinki Will Select One Service Provider As A Contract Partner And Enter Into A Framework Agreement With This Provider For A Two (2) Year Contract Period. After The Fixed Two (2) Year Contract Period, The University Of Helsinki Has The Option To Extend The Contract Period With Two (1+1) Option Years, Always One Year At A Time. Every Year, The University Of Helsinki Organizes Numerous Events Of Various Sizes, Some Of Which Use Service Providers Specialized In Event Technology And Construction. The Biggest Events Organized In The Universitys Premises Are The Opening Of The Academic Year, The Anniversary Celebration, The Academic Promotions Of The Faculties And The Celebratory Lectures Of The New Professors. In Addition, The University Annually Organizes E.G. Domestic And International Conferences, Receptions, Seminars And Faculty-Specific Events. Annually, External Event Technology Is Ordered For An Average Of 5-10 Events. The Estimate Or Contract Does Not Constitute A Purchase Obligation For The Customer. The Service Provider Must Be Able To Offer A Complete Solution For The Technical Implementation Of Events, Such That It Includes The Events Technical Planning, Stage Structures, Sound Reproduction, Lighting, Led And/Or Video Screens, As Well As Equipment-Related Transportation And Implementation. The Requirements Vary On A Case-By-Case Basis, And The Details Are Agreed When Placing The Order. The Service Provider Must Have The Capabilities To Organize High-Level Sound Reproduction, Light Technology, Image Technology, Stage Structures, And The Human Resources That Operate Them For The Events. The Chosen Supplier Must Have Up-To-Date, Professional-Level Equipment That Is Sufficient For The Needs Of An Event Of 700 People And, If Necessary, To Implement The Event Technology Of Several Parallel Events. As Far As Possible, The Equipment And Infrastructure Already In The Premises Are Utilized As Part Of The Event Technology. The Suppliers Service Must Be Expert, Reliable And Flexible. Event Technology Implementations Are Made In Accordance With The Customers Brand And Visual Appearance. The University Of Helsinki Also Requires The Journalist To Have A Wealth Of Ideas To Propose And Plan To Bring Out The Themes Of The Event Using Event Technology. So The Customer Does Not Necessarily Specify All The Technology To Be Acquired In The Preparation Phase Of The Event, But The More Detailed Content Of The Implementation Is Planned Together With The Supplier In A Joint Planning Meeting. The Supplier Must Have Comprehensive Liability Insurance That Compensates For Any Damages. It Is Important To Note That Event Technology Is Most Often Ordered For The Banquet Hall Of The Universitys Main Building, Which Is A Historically Valuable Object. The Supplier Must Also Act Responsibly As An Employer
